Privacy policy

Last updated: 19 October 2026

This policy explains what happens to your personal details when you use this website or ask me for a quote. In short: I only use your details to reply to your request and, if you give me the assignment, to carry it out. I never sell them or use them for advertising.

Who is responsible for your details

ADV Translations – Alicia Diaz De Vocht, sworn translator
2000 Antwerp, Belgium
Enterprise number BE 1020.584.411
Email: adiazdevocht@gmail.com

What I collect

  • When you request a quote: your email address, your name (if you fill it in), a description of your document, the language combination, your deadline and any message you add.
  • When you send me a document: the document itself and the personal details in it, for example on a birth certificate or diploma.

What I use it for

  • To reply to your request with a price and a deadline.
  • To carry out the translation if you accept the quote.
  • To send you an invoice and keep the records Belgian law requires.

I don't use your details for newsletters, advertising or any other purpose, and I never sell them or pass them on for marketing.

Legal basis

I use your details based on your consent (the checkbox on the quote form), because it's needed to prepare and carry out our agreement, and to meet my legal obligations as a business, such as accounting.

How long I keep it

  • Quote requests: as long as the request or assignment is open. If you don't go ahead with the quote, I delete your details.
  • Documents and translations: only as long as needed for the assignment and any questions about it afterwards, unless the law requires me to keep them longer.
  • Invoices: as long as Belgian accounting law requires.

Who else handles your details

  • FormSubmit (formsubmit.co) forwards the quote form to my email address.
  • Google (Gmail) is my email provider, so emails and documents you send me are stored there.
  • Google Fonts: this website loads its fonts from Google's servers, so your browser shares your IP address with Google when you visit.

Nobody else receives your details, unless the law requires it.

Cookies

This website doesn't use cookies, analytics or tracking. It only remembers the language you chose, in your own browser. That information never leaves your device.

Your rights

You can ask me at any time to see, correct or delete your details, to limit or object to how they're used, or to give you a copy. You can also withdraw your consent at any time. Just email adiazdevocht@gmail.com. I'll reply within one month.

If you think your details aren't being handled correctly, you can file a complaint with the Belgian Data Protection Authority: dataprotectionauthority.be.

Changes

If this policy changes, the new version will be published on this page with a new date.
